Responsibilities Include but Not Limited To
Under regular supervision, performs a variety of clerical work for the department. Work involves collecting payments; entering data; printing and mailing bills; printing, balancing, and posting payments; preparing reports; calculating meter readings and downloading data from handheld computers; and answering calls. Reports to the Office Manager.
Essential Job Functions:
- Counts money in drawer.
- Opens deposit slips; totals subs, deposit slips and print outs; lists customers on deposit slips.
- Cancels calls.
- Assists customers.
- Enters payments in computer, prints, balances, and updates reports on daily payments.
- Enters new customers, new deposits, connection fees, application fees, and meter taps daily; totals, prints, balances, and updates reports on each.
- Processes mail.
- Schedules time to open water with customers and for maintenance.
- Files applications and connection report in binders.
- Prints and updates reports.
- Processes delinquent accounts after payment in computer.
- Processes disconnect customers by calling and closing if not paid by next day.
- Distributes disconnect list to Plant Supervisor.
- Enters data into computer for disconnect charges.
- Completes application on new customers.
- Downloads and uploads data for handheld computers for Meter Readers.
- Checks meter readings for misreads; ensures maintenance rechecks; makes correction on readings; reprints reports.
- Calculates and prints bills; stamps delinquent bills; assembles bills for mailing; sorts bills by zip code.
- Calls board members about monthly meetings; attends board meetings; prepares reports for meetings; makes copies of minutes.
- Makes copies of applications and minutes.
- Prepares assigned reports per established procedures.
- Works on non-sufficient fund checks.
- Receives and/or reviews various records and reports such as information on customers, meter readings, and payments.
- Prepares and/or processes a variety of documentation associated with department operations, per established procedures and within designated timeframes; reviews various documentation for accuracy and completeness; distributes/issues various documentation.
- Refers to policy and procedure manuals, computer manuals, codes/laws/regualtions, publications and reference texts, etc.
- Operates a variety of office equipment and machinery such as adding machine, printers, computer, handheld computer, fax machine, etc.
- Uses a variety of tools such as standard office tools, etc.; a variety of supplies such as general office supplies, etc.; and a variety of computer software such as Word, Excel, database, accounting, etc.
- Interacts and communicates with various groups and individuals such as Office Manager, coworkers, other department heads, staff, and the general public.
- Assists Plant Supervisor and maintenance when needed.
- Performs related duties as required.
Minimum Training & Experience
Requires a high school diploma or GED equivalent.
