Responsibilities Include but Not Limited To:
Under general supervision, performs clerical duties in support of the operations of the Acadiana Fairgrounds (SugArena). Work involves answering the telephone, scheduling appointments, filing, retrieving data, and ensuring appropriate files are pulled for review. Prepares files and reports, assesses and collects fees from clients. Serves as initial contact for the citizens. Reports to the immediate supervisor.
Essential Job Functions
- Answering the telephone, directing calls to appropriate persons, recording and relaying messages, initiating and returning calls. Greeting and assisting office visitors, etc.
- Perform general office work as required, including attending meetings, preparing reports and correspondence, entering and retrieving computer data, copying and filing documents, sending and receiving email and /or faxes.
- Assesses client fees for billable services in accordance with agency fee policies.
- Files client records in computer programs and hard copies. Assists in collecting and reviewing documentation. Prepares lists of items needed for department and submits to supervisor for procurement. Stocks shelves.
- Prepares and/or processes various records and reports, demographics information, schedule sheets, updates directory, inventory, etc.
- Refers to policy and procedure manuals, codes/ laws / regulations, publications, etc.
- Operates a variety of office equipment and machinery such as computer, telephone system, copy machine, fax machines, shredder, calculator, printer, etc.
- Uses a variety of supplies such as general office supplies, etc. and a variety of computer software such as Microsoft Word and Excel, etc.
- Interacts and communicates with various groups, individuals, immediate supervisor, co-workers, and the general public.
Minimum Training & Experience
Requires a high school diploma or GED equivalent with two years of experience performing related skilled work; or any equivalent combination of training and experience, which provides the required knowledge, skills and abilities. Must have a valid Louisiana driver’s license.
